Legal basis
§14 GefStoffV requires: 'The operating instruction must be drawn up in a form and language understandable to the employees.'
TRGS 555 specifies: If employees do not sufficiently understand the German text, the operating instruction must be created in a language they understand.
Responsibility lies with the employer. In case of dispute (accident, trade-association audit), they must prove that all employees actually understood the instruction.
Practical rule: typical languages in German businesses
Check that the actual employees understand the content. English is only suitable if those employees understand it; check currently supported product languages before creation.
Polish, Romanian: common in construction, logistics, cleaning, care. Translations must be ensured through language service providers or employees with language skills.
Turkish, Arabic: common in workshops, gastronomy, cleaning. Procedure as for Polish.
With many languages simultaneously: combine posting in 3–4 main languages plus training with interpreter.
Pragmatic approach: visual language
Pictograms can help readers navigate information. Explain their meaning and check whether employees understand the specific actions required.
Check symbols and text together with the employees concerned. A pictogram alone does not establish understanding or adequate instruction.
Training (instruction) supplements the operating instruction – with interpreter or multilingual material.
